Managing your Disk Space in First Class

All Waco ISD First Class email accounts receive 200MB of storage space automatically. For many users this is more than enough space. For other users this is the amount of mail they receive in one week. We want to manage the limited amount of space on our server as efficiently as possible while providing users what they need to do their jobs. Here are some tips, ideas and useful information for managing your space in First Class.

If you sort your mailbox by size, you will see which messages are taking up the most space in your account. You can do this by clicking the Size column when viewing your mailbox or sub-folders (see graphic below).

Any sub folders in your mailbox, folders on your desktop or files in file storage count against your quota. All non-essential, non-business related files such as pictures or any other documents should be backed up to an external drive and deleted from your mailbox. Even large messages that are business related should be stored outside of First Class if possible. Note: Emails in the trash do NOT count against your mailbox quota.

Archiving Attachments and Messages

If there are messages or attachments that need to be saved for historical, documentation or personal reasons, they can be stored on your local computer by following these instructions.

Archiving Attachments

  1. Open the message with the desired attachment in First Class
  2. Right-click on the attachment and select Save Attachment…
  3. Select the location to save the attachment on your local hard drive.
  4. Click Save.
  5. Delete the message in First Class to free up the space used by that attachment

Archiving Messages

If you need the message as well as the attachment, follow these instructions.

  1. Select the message (or messages)
  2. Go to File and select Export…
  3. Select the location to save the attachment on your local hard drive
  4. Click Save.
  5. The message will be saved in a folder that contains any attachments as well as a rich text copy of your email message (verify attachments have exported correctly).
  6. Delete the message in First Class to free up the space used by that attachment
